Retiring an Asset
Note: To retire an asset, the role of the logged-in user must include the Assets feature and the Retire feature.
A retired asset remains in the system, but it is removed from active use. An asset may be retired from the Assets form. When an asset is retired:
- The asset is deleted from inventory.
- Asset management functions (i.e., check out, check in, reservation) may be not be performed on a retired asset.
- If a user retires an asset that is checked out, the asset is removed from check out status upon being retired.
- If a user retires an asset that is reserved, the asset is removed from reserved status upon being retired.
- Retired assets are not automatically listed at the Assets form, but they may be viewed by marking the Show Retired Assets checkbox in the bottom right area of the Assets form grid.
- A retired asset may be reactivated by un-retiring it.
To retire an asset, refer to the steps that follow.
- Go to the Manage Items page.
- For an asset-type item, click the Add Asset icon to the right of the item.
- This will open the Assets form for this item.
- The asset is retired from this form, by clicking the Retire icon, which is found to the right of the asset listing in the Assets form grid.
- A dialog prompt appears asking: Retire Asset?
- To close the dialog, retire the asset, and return to the Assets form, click OK. A Retire transaction is recorded in application history. The asset site-location at the time of the retire transaction is found in the Retire transaction record. After the asset is retired, it is no longer found in asset inventory and no asset functions may be performed on it.
- If the asset was contained in asset inventory, the asset is removed from asset inventory once it is retired.
- If upon being retired, the asset is checked out to an assignee, the asset will be removed from the check out list.
- If upon being retired, the asset is reserved to an assignee, the asset will be removed from the list of reserved assets for this assignee.
- To cancel this action, close the dialog, and return to the Assets form, click Cancel. The asset is not retired.

Reactivating a Retired Asset
A retired asset may be reactivated.
Note: When a retired asset is reactivated, it must be added to asset inventory (i.e., placed in a site-location) in order to be available for asset reservation or asset check out; see "Reactivating a Retired Asset" for more information.
Deleting an Asset
An asset may be deleted from IntelliTrack. If an asset is in use, however, it must be retired first, and then deleted.
Warning: When an asset is deleted, it is permanently removed from the system.
